7 KPIs Every Real Estate Builder Should Track Weekly

Published on May 12, 2026•5 min read

Most builders sit in their weekly review meetings looking at the wrong numbers. They look at "Reach," "Impressions," "Clicks," and "Cost Per Lead." These are marketing vanity metrics. You cannot take "impressions" to the bank.

If you want predictable sales velocity, you need to track the metrics that actually correlate to revenue. Here are the 7 KPIs you must demand from your sales and marketing teams every single week.

KPI 1 — Leads

The raw volume of inquiries generated across all channels. While this is a top-of-funnel metric, tracking it ensures your marketing engine is consistently feeding the pipeline.

KPI 2 — Qualified Leads

Generating 1,000 leads means nothing if only 50 can afford your project. You must track the percentage of leads that pass your qualification criteria (budget, timeline, location preference). If your qualification rate is below 20%, your marketing targeting is broken.

KPI 3 — Contacted Within SLA %

Service Level Agreement (SLA) for lead response should be under 5 minutes. Track what percentage of new enquiries were called or messaged within this window. Speed is the single biggest determining factor in whether a lead will agree to a site visit.

KPI 4 — Follow-Ups Done %

Look at your CRM: Out of the leads generated 14 days ago that did not visit the site, what percentage have received at least 5 follow-up touchpoints? If this number isn't near 100%, your sales team is cherry-picking leads and wasting your ad budget.

KPI 5 — Site Visits Scheduled

This tells you how effective your tele-calling script is. Are your callers successfully selling the site visit? If you generate 100 qualified leads, you should aim to schedule at least 25 to 30 site visits.

KPI 6 — Site Visits Completed

A scheduled visit is not a completed visit. The drop-off here is usually due to a lack of pre-visit nurturing and confirmation protocols. If half your scheduled visits result in no-shows, you need an automated WhatsApp confirmation and reminder sequence.

KPI 7 — Bookings

This is the ultimate test of your product, pricing, and face-to-face sales team. If people are visiting but not buying, the problem isn't marketing—it's positioning, pricing, competitor advantage, or poor closing skills on-site.

When marketing and sales align around these 7 KPIs, you stop pointing fingers and start building a predictable revenue engine.
